Administrative Clerks


Provide data entry of “calls for service” that are not assigned to a deputy. Staff codes and processes the Uniform Crime Report for the state and the FBI on a monthly basis. Data input includes calls for service and tickets, processing concealed pistol licenses, backup receptionist, primary transcriber of suspect/victim interview tapes. Assists the deputies with research of criminal statistics and research reports, as well as statistics for the public and other agencies.

The unit also assists in fingerprinting for concealed pistol licenses and WSP employee background checks, and helps collect monies for concealed pistol licenses, Traffic Safety School and DUI Cost Recoveries. The unit processes the informational forms that are sent to the state regarding drug abuse cases. They also produce various statistical reports as needed, as well as Handling the court “call-offs”, vacation notice forms, junk vehicle calls, interdepartmental calls and all other informational calls of inquiry.

This unit completes employee training registration requests and entry into records management system. They provide quartermaster services by ordering supplies and uniforms for the Deputies and distributing items when received. Provides staff support at the Quilcene Annex one day a week for public access. Some support is provided for JEFFCOM, handling clerical duties.

Members of this unit also provide a variety of clerical and reception duties including, greeting the general public and assist with their requests or concerns, answer phones and redirect calls. Also responsible for forwarding case reports to the Prosecutor’s Office in a timely manner. Data entry citations, calls for service and the dispositions of cases. Develop monthly spreadsheets with stats related to citations and calls for service for department staff meetings. Handles cash for various types of transactions.


Evidence Clerk


Responsible for all evidence/property that comes into or goes out of the department, including items returned by the State Crime Lab after testing. Process the incoming evidence by entering data into the computer and then placing into vault. Maintaining an inventory of all evidence/property. Keep a Chain of Possession log that maintains the integrity of the evidence collected. Return property to rightful owner at the conclusion of a case, or destroy any illegal substances or weapons, etc. When “found” property is turned over to the department attempt to identify and return to the owner.


Administrative Clerk for Corrections


Utilize ACCESS (A Central Computerized Enforcement Service System) to enter information into WACIC and NCIC (Washington and National Crime Information Centers). Enter, modify, locate, teletype and clear warrants as well as, protection orders, missing persons, stolen items and impounds. Queries are run for warrants, respondents on protection orders, missing persons, background checks, concealed pistol licenses, gun transfers and criminal justice employment. Fill out and send to the prosecutor the disposition sheets and fingerprint cards sent to the State from the information on the booking cards at time of arrest. Also, prepare statistical data for corrections. Juvenile statistics are compiled once a year to account for the time a juvenile spends at the jail prior to transfer to a juvenile facility. Transportation statistics are compiled monthly from log sheets and given to the Administrative Sergeant once a year.


Confidential Secretary/Office Manager


Responsible for employee personnel records and payroll for the department. Hires, trains, and evaluates administrative clerical staff and supervises their work flow and scheduling. Works with various financial transactions, including accounts payable, revenues, grants, and devotes a major portion of job working on developing the Department budget with the Sheriff. Distributes incoming /outgoing mail, and schedules appointments for for the Sheriff, as well as compose and type correspondence. Oversees administrative purchases of various office supplies. Transcribes case interviews for Prosecuting Attorney when necessary. Has knowledge of records management system, retention schedule, department manual. Responds to various records request and inquires and resolves items of conflict.
